  • What is Email Continuity?
  • Email continuity is the process whereby a secondary email system immediately and seamlessly takes over in the event of primary system failure. This is important because emails are such a vital part of intra and inter-business communication. If not accounted for the loss of an email system will invariably have a debilitating effect on the way your business operates.
  • What is Email Archiving?
  • It is the recording and storage of all incoming, outgoing and sometimes internal emails attributed to your company. Mail can be retained indefinitely or for a specified amount of time, and is stored in secure data centres ready for access and retrieval on-demand. Archiving is used for compliance purposes or to manage large volumes of data on your email servers.
  • What is Email Filtering?
  • The checking and filtering of all outgoing and incoming emails for spam, viruses, spyware and other malware. Our services can also be configured to restrict content according to user-created rules and content filters
  • With Email Continuity, how long does it take for the secondary email system to kick-in?
  • The process is extremely quick. Depending on the solution chosen, local systems can failover in less than 60 seconds or always-on webmail can be accessed instantly.
  • Are any emails lost during the failover process in a disaster?
  • No, they are queued for sending while the secondary system takes over, and are then sent when this is done.
  • How common are email failures?
  • Surprisingly common. Every year, 75% of companies will experience a major email system failure, of which 55% will last for 6 hours or longer.
  • Will I still be able to access my usual range of email services?
  • Depending on which package you subscribe to the majority of rich functionality is still available, the core services are always available however.
  • When my primary email system is fixed, can I resynchronize my email to it?
  • Yes. This can be configured to happen automatically.
  • Where does the secondary system run from?
  • From our data centres in the UK. These are secure, disaster-proof and under 24-hour surveillance.
  • Why do I need to archive my emails?
  • An archive of emails is easy to search, saving time and effort. It also makes it easier to comply with legislation and protects you from damaging legal proceedings. If disaster strikes your systems, knowing that there is a safe and secure archive of your emails is a load off your mind. By archiving your emails offsite, you also free up resources on your primary email server to ensure it runs efficiently. 
  • Can I remotely access my archived emails?
  • Yes, each user can remotely access their archived emails using Microsoft Outlook or a standard web browser.
  • Who has access to archived emails?
  • Each user has access to their own emails. Additionally, administrators have system-wide access, or can grant limited global search powers to others.
  • Who manages the archive?
  • The archive is based in our secure data centres but is managed remotely by your system administrators.
  • How long are emails retained in the archive?
  • You can decide between a number of different retention periods, ranging from 30 days to 25 years.
  • Why do I need an email security system?
  • Spam takes up storage space on your systems, places added strain on your servers and takes up employee time as they sort through looking for valid emails. Viruses can infect your entire system and reduce productivity, while spyware can compromise the security of your data.
  • Does the software update and 'learn' as new threats evolve?
  • The system is adminstered centrally by our providers meaning that you have the full protection of global threat networks and designated teams constantly working to keep protection up to date.
  • Do valid emails ever get blocked?
  • This happens extremely rarely. The filters are designed such that it becomes more likely that a rogue spam email will get through than a valid email becomes blocked.
  • Why do I need archiving if I am using server backup?
  • Archiving can be used to 1) reduce the volume of 'primary' data in your email system making it then easier, faster and cheaper to backup. Our software can achieve reductions of up to 80%; 2) keep forensic standard copies of data for compliance purposes. However, Archiving alone does not cover a situation where you need a replacement mail infrastructure after a disaster, that is the function of Email Continuity, but you will need a full backup from which to perform the system restore from.
  • How does archiving affect the user experience?
  • It improves it. By using the archive service, you no longer have to restrict users to tiny mailbox limits. For example, automatically archiving attachments reduces the size of individual mailboxes whilst still allowing users to access these files on demand. Additionally, in the event of a failover, users can continue to use Outlook or Blackberries as normal.
  • Can I continue using Outlook during an outage?
  • Yes, depending on which solution you choose, the secondary email system will either appear as normal in Outlook or with an equivalent webmail setup. In both cases, the switchover is seamless.
  • How quick is it to set up?
  • The process is normally staggered over 1-2 weeks in order to ensure you are never without email and the system is setup up according to your needs.
  • How do I arrange for my email to route through you?
  • A Simple MX record change is required which our support team will talk you through.
  • What if I am already using an alternate security system?
  • If you are currently using a similar security system, then we would love you to use ours and will work with you closely to make sure you have a smooth transition. If you are already using local hardware based solutions on your infrastructure, our solution compliments this by reducing the chances of spam and viruses ever reaching your filters in the first place and thus reducing loading on your local networks.
  • Which underlying anti-spam and ant-virus software do you use?
  • The service we use is built on technology that uses five separate Email Anti-Virus engines for filtering and they are regularly updated to ensure performance. The system also uses 'zero-day' engines to detect threats as they emerge into the global forum.
  • How do I access my archived email?
  • Your archived emails are accessed via a web based control panel or a local view within Outlook. The emails are stored in a simple and intuitive manner, which when combined with the fast search capability, makes finding any particular email quick and easy.
  • Can I search for specific emails and attachments?
  • Yes. You can search the archives for many different attributes of stored email, including attachment types.
